• You have a Bachelor degree in English, Administration, Business, Information Science, Administration or Management
• Previous clerical, secretarial or commercial work experience is essential.
• Experience between 2 and 6 years maximum.
• French and English fluent, a third language will be considered as a plus (Dutch or Spanish).
• Maintaining director’s calendar: arrange appointments and meetings, assist with all kinds of arrangements.
• Devising and maintaining office systems, including data management and filing.
• Organizing and following director’s flight tickets and all travel bookings and visas.
• Answering, screening and forwarding phone calls, enquiries and requests, and handling them when appropriate.
• Meeting and greeting visitors at all levels of seniority.
• Review incoming and outgoing correspondence and follow up with all levels of contacts, ensuring a timely flow of information.
• Typing letters, documents and presentations as well as research on assigned subjects and prepare reports as requested.
• Organizing and attending meetings and ensuring the manager are well prepared.
• Liaising with clients, suppliers and other staff.
